How to scan receipts into expenses with OCR

A good scan removes typing. A good review keeps the record trustworthy. Here is how to get both.

OCR proposes the record; you approve it

Optical character recognition turns visible text in a receipt image into structured data. A finance app can use that text to propose a merchant, date, currency, subtotal, tax, tip, total, and individual items.

“Propose” matters. OCR reads pixels, not intent. It can confuse 3 and 8, select the card total instead of the grand total, or treat an address as a merchant. Always review the result before saving.

Capture a receipt the camera can read

  1. Flatten the receipt.Smooth curls and folds. Keep every edge visible if the app uses the page boundary to correct perspective.
  2. Use even light.Move away from hard glare and shadows. Turn off flash when it creates a bright hotspot on glossy paper.
  3. Hold the phone parallel.A straight, close image preserves small digits. Do not crop the merchant, date, total, or currency.
  4. Capture long receipts in the supported way.If the app supports multiple images, overlap sections slightly. Otherwise prioritize the header, totals, and the line items you need.
  5. Retake blur immediately.Zoom in before submitting. If you cannot read a price, OCR probably cannot either.

A 30-second review checklist

  • Merchant: replace a legal entity or payment processor name with the shop name if that is more useful.
  • Date and time: distinguish purchase time from print time, refund date, or loyalty statement date.
  • Currency: never infer currency only from the symbol when `$` could mean several currencies.
  • Subtotal, tax, tip, total: make sure the saved expense equals the amount actually paid.
  • Payment account: choose cash or the correct card account; a receipt alone may not reliably identify it.
  • Duplicates: search for an existing Wallet or manual entry with the same date and amount before saving.

If Wallet automation already created the expense, attach or merge the receipt with that record when the app supports it. The receipt adds detail; it should not double your spending.

When line items are worth keeping

Line items help when one receipt crosses categories, you share costs, need a return record, or want to compare grocery prices. They are less useful when every item will receive the same category and you only need a monthly total.

For a mixed supermarket receipt, assign food to Groceries, cleaning supplies to Home, and medicine to Health while keeping the payment as one transaction. Ensure the item sum plus tax, fees, and tip reconciles with the receipt total. Rounding can create small differences; correct the allocation rather than changing the paid total.

Why some receipts scan badly

Faded thermal paper, handwritten tips, torn edges, multiple tax rates, discount lines, nonstandard date formats, multilingual layouts, and very long receipts can confuse extraction. A model may also read a loyalty balance or “you saved” amount as money paid.

If a second photo does not help, enter the total and merchant manually and keep the image for reference. Perfect line-item reconstruction is not worth several minutes unless that detail serves a real decision.

Receipt privacy

Receipts can contain more than prices: a name, partial card digits, loyalty number, address, prescription details, or a QR code. Review what is visible before uploading and crop unrelated personal information when practical.

Should I keep the paper receipt?

Follow local tax, warranty, reimbursement, and return requirements. A scan is useful for organization, but it may not replace an original where a business or authority requires one.

Can OCR identify the right category?

It can suggest one from the merchant or line items, but you should decide whether that category matches the purpose of the purchase.

How do I scan a receipt in another currency?

Confirm the printed currency or country and select it explicitly. If your budget uses another base currency, keep both the original amount and the applied exchange rate where possible.

What if I have no receipt?

Enter the amount manually or use another source you are authorized to access. Do not invent line items; a correct total with a short note is better than false detail.
